The 2020-21 Club Year is here! Online Club Registration opens on October 1st 2020 and closes on December 1st 2020. The club year is from October 1st 2020 to September 30th 2021 on your calendar. Clubs must have a minimum of eight members and at least one volunteer leader who is 18 years of age or older. In addition, a club must offer at least one 4-H approved project.

Q: What are the steps to registering my 4-H club on-line?
There are 10 easy steps to registering your club online. Each step appears as a tab on the screen as you move through the process.
- Payment which will show up as Financials once the club is approved
Once you have logged in using the user name and password provided, you will see the first Club Registration Screen. There are two options:
- Renew an Existing Club – choose this if you are registering a previously existing 4-H Club.
- Create a New Club – choose this if you are registering a club that has never existed.
Input the required information. Once you click Save Club Registration Details, the Leaders tab will appear.
On the Leaders screen you will add all leaders associated with your club. Fill in your first Leader’s information and click on Save Leader Information. Continue this process for each of your Leaders until they all appear in the Leader Registration Summary. Then proceed to the Members tab.
When you have finished adding Leaders, click on the Members tab. Add your Member information and click on Save Member Information. Repeat the process for each of your club’s members.
Once you have added one member, a project tab will appear. But, add each of your members before you move on to the Volunteers tab.
Adult volunteers are vitally important to the success of 4-H Alberta. Any adult registered in the online system, who has not been elected to be a Leader by the club, but who wishes to provide support to the club, district, region or provincial activities, shall be considered a Volunteer. They are to be registered as such by the General Leader. Many clubs currently have “Parent Volunteers” and these individual belong in this general volunteer category.
Within the Projects tab, you will be able to associate each member and each leader with one or more projects. The projects that appear in the drop down menu will be directly related to the projects you specified on the CLUB registration screen. Save this information to move on to the next step.
The next tab that appears is Positions. Here you will be able to specify each Leader’s position as well as the executive positions associated with the club members. If a club member is not holding an executive position, just choose the option not applicable from the drop down menu. After you click Save Position Associations, the Sponsorship tab will appear.
The next tab that appears is Families. Move each of the individuals (Members and Leaders) into family groups. Positions. Here you will be able to specify each Leader’s position as well as the executive positions associated with the club After you click Save Families, the Sponsorship tab will appear.
Fill out the information requested within the Sponsorship tab, click on Continue to Summary.
On this screen, you will see a summary of your club registration and you will have the option to either pay by credit card or by cheque. After you click Submit Registration, a Thank You screen will appear stating that your registration has been successfully submitted. At this point, click on Proceed to Club Supplies Order.
Q: Where can I get a Username and Password if I haven’t received one?
Please call or email 4-H Alberta registrar or call 310-0000 then ask for 780-422-4444 to request a username and password. Your username and password will be sent to you via email.
Q: Can I complete Club Registration in separate phases?
Yes. At the bottom of each screen you will find a save option in a green box. When you click on this, the information you have input will be saved and you will be taken to the next step in the registration process. If you choose not to continue on to the next step, you may log out and come back to your club registration later.
Q: Is personal and financial information secure?
Yes. The payment system uses Moneris, the industry leader in payment processing. When you pay your club registration online, it is as secure as using your credit or debit card in a store. Moneris is the payment processing system used by many banks including ATB.
Q: Can we still pay with a cheque?
Yes. When you have finished entering you club registration information, you will be at the Payment screen. If you want to pay by cheque, simply click the green Submit Registration box. Simply choose this option and mail your cheque to the 4-H Foundation at:

Q: How will I know that I’ve registered successfully?
When you have completed your club registration successfully, you will be notified with a message saying your club registration has been submitted successfully. At this point, you will be able to move on to ordering your club supplies online.
Q: What do I do if I have a problem or question?
If you have a problem or a question, please call the 4-H Registration Coordinator at 310-0000 then 780-422-4444 or email email@example.com. If this is outside of business hours, you will get a response the next business day.
FAQs – Ordering Club Supplies
Your club’s supplies will be sent to the Approved Government Office that you specify. Select here to obtain the Approved Government Courier Offices
Q: After I have placed my order, can I track the progress of it?
No. We do not currently have a tracking system implemented within the system. Orders are immediately sent to the club supply coordinator, and filled on a first come, first served basis, once payment has been received..
Q: If I need to order more supplies than the limit allows, how can I do that?
To order more supplies than the suggested limit, simply input the amount you would like and write a note explaining your reason in the notes section provided.
Q: If I need additional supplies at a later date, how do I order them?
It is preferred that only one club supply order is made per club per year, however if additional supplies are needed during the club year please order through the Club Supplies on-line, please make a note that this is a second order for the club and provide us with details as to why the order is being sent.
Q: How long will it take for me to receive my order?
Orders are processed when all registration information is complete and registration fees are received. Remember: the club registration deadline is December 1.
Q: How do I order Cleaver the Beaver for an event?
Throughout the year your 4-H club/district/region may attend fairs, parades, tradeshows, registration nights, etc. to help promote the 4-H organization. In an effort to complement your own promotional efforts we are happy to have available Cleaver the Beaver for your use. To order Cleaver the Beaver, make sure to order him at least six weeks ahead of your event to ensure he can attend – please complete the Cleaver The Beaver Order form.
