Seeking Volunteers for the  4-H Alberta Board of Directors

4-H is a youth development organization that guides, supports and inspires Alberta’s greatest resource, the youth of Alberta.  It is Alberta’s premier youth organization that encourages youth to learn to do by doing, and empowers them to become leaders and volunteers in their clubs, communities, countries, and the world.

The 4-H Alberta Board represents all of the geographic areas of the province and has the skills necessary to steward 4-H Alberta. Interested individuals will need to commit to a maximum of a three-year term to serve on the elected Board of Directors.

There are 3 upcoming vacancies on the 4-H Alberta Board of Directors for which the Governance & Nominating Committee will be seeking applications. These vacancies are:

  • Area Director for Peace Region (3-year term)
  • Area Director for East/West Central Region (3-year term)
  • Diversity Director (3-year term)

4-H Alberta encourages the submission of applications for these Director positions. Selected applicants will be interviewed by the 4-H Alberta Board Governance and Nominating Committee. Qualified candidates for the Area Directors will be sent back to the respective Regions to vote in their nominee for Area Director by April 1, 2023. In the event of a tie, the final candidate will be determined by the 4-H Alberta Governance and Nominating Committee.

4-H Alberta Board of Director Role:

The principal role and legal duty of the board is to oversee the strategic direction, management and operation of 4-H Alberta’s business and affairs. Accordingly, the board oversees the development of the overarching strategic direction and policy framework for 4-H Alberta, ensures that 4-H Alberta’s activities are consistent with its mandate and evaluates the organization’s overall efficiency and effectiveness in using financial and human resources to meet 4-H Alberta’s objectives.

These duties are mainly discharged through board oversight of the Chief Executive Officer who is responsible for overseeing the management and day to day operations of 4-H Alberta. The board is responsible for the selection, monitoring and evaluation of the Chief Executive Officer and the Chief Executive Officer is ultimately responsible for the quality and performance of 4-H Alberta’s administration. In this way the board assumes responsibility for the stewardship of 4-H Alberta.

4-H Alberta is seeking a highly motivated, enthusiastic, organized part-time Fund Development Coordinator to join us in our fast paced, professional environment. The Fund Development Coordinator will support 4-H Alberta’s fundraising efforts by cultivating sponsor and donor relationships as well as managing sponsor benefits and stewardship activities.

Reporting to the Director, Business Development, the Fund Development Coordinator will assist in coordinating the annual Scholarship Program and help with the organization’s communication and marketing needs. The responsibilities of the role include but are not limited to:

  • Seek, receive, and administer donor and sponsorship funds to support 4-H Alberta
  • Support prospect research as required
  • Prepare presentation materials for donors, prospects, and stakeholders
  • Collaborate with the fund development team on the timely and relevant sponsor and donor communication calendar (monthly, quarterly, and annually) as well as related communications materials such as ‘Youth in Action’ updates and CEO updates
  • Working with the Director of Business Development, to deliver sponsorship benefits and engagement opportunities as agreed upon and develop a first-class donor stewardship program
  • Assist with the overall stewardship process and thank you program including writing letters, collecting thank yous quotes and photos from 4-H members
  • Monitor the charitable tax receipts and donation tracking in excel spreadsheets or a donor database
  • Manage the donor fundraising database and donor lists
  • Support and assist with the development, design, and delivery of communications activities (Facebook posts, sponsor communication to members and stakeholders) and marketing plans, activations, and materials (sponsorship tool kit, Community Report), i.e. through Adobe Indesign or equivalent
  • Support the overall scholarship process under the direction of the Director, Business Development and in collaboration with the Fund Development & Philanthropic Officer.
The ideal candidate will possess:
  • A post-secondary degree, certificate, diploma or equivalent
  • Strong interpersonal and communication skills and the proven ability to develop and maintain strong relationships with existing and prospective sponsors and donors
  • Exceptional degree of accuracy as well as attention to detail
  • Advanced organization and time management skills
  • Ability to work independently, prioritize and complete tasks while working in an environment of multiple deadlines
  • One year of fund development experience and strong administrative experience
  • Excellent customer service skills and a positive attitude
  • Ability to adapt to constant change and multiple priorities
  • Flexible working hours, based on peak project times
  • Travel, some evening and weekend work may be required

Nature of the Work (To whom position reports, complexity and amount of work/peak periods, other conditions: eg shift work, callout dangerous or stressful conditions, etc):
  • Part-time, 26 hours per week; Weekdays; Hours to be mutually agreed upon. Working remotely.
  • Reporting to the Director, Business Development.
  • The position does usually not exceed the part-time commitment of 26 hours per week but additional time may occur for evening and weekend business and fund development activities.
  • The Administrative Assistant, Business and Fund Development will play an important role in the Fund and Business Development Team by ensuring the team has all the tools they need for donor meetings, proposal preparation, stewardship activities, and any other administrative functions, including but limited to email correspondence, event tracking, and spreadsheet management.
  • The successful incumbent will have the ability to multitask in a fast-paced environment, prioritize work, demonstrate initiative, and meet deadlines as well as have thorough knowledge and working understanding of Google Workspace and Microsoft Office, including mail merges and excel functions.
  • In addition, the Administrative Assistant, Business and Fund Development will help coordinate the annual Scholarship Program under the direction of the Director, Business Development as well as with the guidance of the Fund Development and Philanthropic Officer, and assist with the department’s communication and marketing needs.

Accountabilities: (Results and outcomes expected when roles are carried out successfully. If desired, add a list of specific tasks/duties in the following section):
– Monitor multiple email accounts and assist with ongoing stakeholder communication for the department
– Working with the Director of Business Development and the Fund Development & Philanthropic Officer to deliver sponsorship benefits and engagement opportunities as agreed upon:
– Sponsorship reports, pre-program/event engagement opportunities, post-program/event engagement sponsor fulfilment reports
– Work on special sponsorship projects
– Support the overall scholarship process under the direction of the Director, Business Development and in collaboration with the Fund Development & Philanthropic Officer. Including the following:
– Annual reporting to scholarship stakeholders, including scholarship posters
– Annual preparation of scholarship agreements,
– Annual preparation of all scholarship communications and confirming criteria and terms of reference with all scholarship stakeholders,
– Working with AgCall on updating the online scholarship application,
– Complete the scholarship applicant data preparation,
– Support the annual scholarship selection process, i.e. scholarship selection committee meetings ;
– Managing all recipient communications, and;
– Work in conjunction with the finance department to assist with, scholarship payments through Plooto
– Prepare presentation materials for donors, prospects, and stakeholders
– Collaborate with the fund and business development team on the timely and relevant sponsor and donor communication calendar (monthly, quarterly, and annually) as well as related communications materials such as ‘Youth in Action’ updates and CEO updates
– Assist with the overall donor stewardship process and thank you program including writing letters, collecting thank yous quotes and photos from 4-H members
– Monitor the charitable tax receipts and donation tracking in excel spreadsheets or a donor database
– Manage the donor fundraising database and donor lists
– Support prospect research as required
